An internal tool in daily use: only the sign-in page is public. The screens behind it are shown in a meeting.

01Problem

In Luanda, the agency's work was getting lost in WhatsApp, and the connection often dropped. The internal rule sums it up: “If it isn't recorded, it wasn't asked for.”

The agency needed a single tool for projects, meetings, money and teams, one that keeps working when the network gives out.

02Context

Users
The whole agency: management, project managers, production teams, finance, human resources and administrative staff, across twelve roles.
Current process
Requests sent over WhatsApp, meeting decisions with no follow-up, separate spreadsheets for finance and HR.
Constraints
Weak or cut internet, Angolan labour law and taxation (INSS, IRT), the kwanza and Multicaixa Express, local public holidays and bridge days.
Tools in place
  • WhatsApp
  • Spreadsheets
  • Shared documents

03Solution

An installable web app, designed offline-first: every change is saved on the device, queued, then sent in batches as soon as the network returns. If two people edit the same record, a sync centre shows both versions field by field.

Around it, 44 screens: projects with a critical path and delay forecasts in Angolan working days, meetings that feed a decision log, a problem-solving method, finance, HR, and contracts that can be verified by QR code.

Contracts won in the CRM arrive on their own: the project is created with its lead, its tasks, its payment due dates and its kick-off meeting.

Why this approach. Where the network is unreliable, an app that demands a connection doesn't get used. Offline isn't optional: it's the condition for the tool to replace WhatsApp.

04Architecture

Input

  • Quick capture “@person #project !high Friday 3h”: a task created in one line, even offline.
  • Abraccio CRM Won contracts arrive through a key-protected connection, with no duplicates even if a send is repeated.

Interface

  • Installable app 44 screens, ⌘K palette, light, dark and data-saver themes.

Data

  • On-device database Everything is saved in the browser first (IndexedDB): the app works with no network.

Automation

  • Sync Sent in batches of 50, retries spaced out up to 60 s, a live feed from the server, files uploaded in resumable chunks.
  • Node.js API Permissions by module, action and scope: each device only receives what the person is allowed to see. Log and daily backups.

AI

  • Server-side AI Questions, meetings, ideas, weekly review: answers that cite their sources and respect permissions. Offline, local rules take over.

Output

  • Automations 36 triggers, alerts, daily briefing, sector radar.

05Features

  • Offline for realThe app reloads with no network; changes wait on the device and go out on their own when the connection returns.
  • No work overwrittenTwo simultaneous edits are detected and settled field by field.
  • Projects that warn youCritical path, delay forecast, project health across seven criteria, an alert when the margin drops below 30%.
  • Meetings that move things forwardA timer for each agenda item and quick capture; publishing the summary creates the decisions and the tasks.
  • The agency's memoryDecision log, five whys and Ishikawa, knowledge base, end-of-project review.
  • Angolan finance and HRCash flow forecast 30 days ahead, payroll with INSS and IRT, Multicaixa Express, leave, recruitment, joiners and leavers.
  • Verifiable contractsContract generator, versions up to FINAL, a SHA-256 hash and a QR code that can be checked with a camera.
  • AI that cites its sourcesAnswers, meeting summaries, weekly review and project brief, within each person's permissions.
  • SecurityTwelve roles, per-record permissions with expiry, passwords hashed with scrypt, read-only log, daily backups.

06Result

  • A single tool in place of WhatsApp and spreadsheets for the agency's work.
  • Work carries on when the internet goes down.
  • Every contract won in the CRM becomes a planned project, with no re-keying.

How it is measured

  • Projects delivered on time
  • Meeting decisions carried out
  • Forecast cash flow against actual cash flow
